Database and Administration Support

JOB SUMMARY: Work with a team to effectively manage the donor database system and donor communication process, as well as other administrative tasks.

DUTIES AND RESPONSIBILITIES:

  •   Provide phone answering and response  
  •   Respond to or redirect mail, and email inquiries from generic email addresses  
  •   Format and facilitate direct mail communications such as preparing letters, working with volunteers, etc  
  •   Manage and utilize the eTapestry donor database system and provide recommendations to staff for efficient use of the system  
  •   Generate queries and reports from eTapestry as needed by the team  
  •   Provide reporting and/or copies as needed of items maintained in the office or the office database  
  •   Support logistics management for event planning  
  •   Provide support to team for hospitality services  
  •   Provide technical support with computers, laptops, printers, software and hardware issues  
  •   Coordinate with technology contractor for problem resolution  
  •   Perform miscellaneous job related duties as assigned by the Director of Operations  

KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:

  • Detailed oriented
  • Excellent reading, writing and general accounting skills
  • Professional telephone demeanor
  • Above average skills and abilities with eTapestry software program
  • Advanced knowledge of database systems and structure
  • Solutions oriented and flexible in approach to workload and problem solving
  • Above average skills in technology support and trouble-shooting.
  • Excellent skills and abilities with Microsoft Word and Excel, including Mail Merge
  • Ability to work with others as well as independently, in a changing environment
  • Willingness to work flexible hours, including evenings and weekends when needed

MINIMUM REQUIREMENTS:

  • 4 years experience in administration with a focus on information systems
  • 3 years experience in eTapestry Donor Software
  • 3 years experience in technology support and problem solving
  • 3 years experience in Microsoft Office Suite
  • Excellent verbal and written communication skills
  • Salary commensurate with experience

Hours: 22.5 hours per week (3 days/week)

Project Coordinator – Short-term Contract Position

 JOB SUMMARY: Work with a team to effectively coordinate two projects on behalf of the organization.

 DUTIES AND RESPONSIBILITIES:

  • Execute project coordination as per a documented Project Plan
  • Coordinate all logistical needs for projects including but not limited to; site management, venue and client communications, graphic design, media, coordination with suppliers
  • Provide status reports to direct report
  • Perform miscellaneous job related duties as assigned by the Director of Operations

KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:

  • Detailed oriented
  • Excellent reading and writing skills
  • Professional demeanor in working with colleagues, clients, and contracto
  • Excellent organizational skills working on multiple tasks
  • Excellent skills and abilities with Microsoft Word
  • Average skills and abilities with Microsoft PowerPoint
  • Solutions oriented and flexible in approach to workload and problem solving
  • Ability to work with others as well as independently, in a changing environment
  • Willingness to work flexible hours, including evenings and weekends when needed

Hours: Minimum 3 days/week for term of contract. Possibility of more hours as required.
